The Heart Rhythm Society’s (HRS) inaugural fundraising Gala presents a unique opportunity to craft compelling, emotionally driven video content that highlights the impact of HRS and Heart Rhythm Advocates (HRA) in advancing cardiac electrophysiology and improving patient care. Our goal is to produce dynamic, polished videos that drive engagement and inspire donations throughout the event.
We propose a streamlined approach to capturing powerful member stories and creating a compelling signature video, alongside additional assets that enhance HRS’ outreach and fundraising efforts.

Approach & Scope of Work
We will conduct a high-quality video shoot on March 27-28, 2025, in Chicago, IL, leveraging a controlled hotel environment to ensure optimal lighting and sound. Our approach will prioritize clarity, authenticity, and emotional impact, making it easy for HRS members to share their stories in a comfortable setting.
We will deliver the following:
Pre-Production & Planning
Strategic Consultation: We will work with HRS staff to refine interview questions, messaging, and visual style to align with the Gala’s fundraising objectives.
Scheduling & Coordination: Our team will support HRS in coordinating the participation of up to 20 members by structuring the interview flow for efficiency.
Set Design & Equipment Prep: We will ensure a professional, cinematic setup, including proper lighting, audio, and backdrop selection to create a polished look.
Makeup Services: We will arrange for professional on-site makeup services to ensure participants feel confident on camera.
Production (March 27-28, 2025)
Video Interviews: We will conduct engaging 15-minute interviews with up to 20 HRS members, using a guided question approach to extract personal stories and insights.
B-Roll Capture: If applicable, we will capture contextual footage to complement the interviews, ensuring a dynamic final product.
On-Site HRS Staff Coordination: We will maintain clear communication with HRS representatives to ensure seamless execution and flexibility for last-minute adjustments.
Post-Production & Deliverables
Signature Gala Video (3-5 Minutes): A compelling, emotionally engaging video featuring member stories, impactful visuals, and a strong call to action. This video will be used during the Gala’s revenue development segment.
Five Short-Form Videos (Up to 3 Minutes Each): These videos will highlight specific themes such as personal connections to HRS, patient impact, and HRS’ role in advancing cardiac care.
Five Teaser Videos (15-30 Seconds Each): These short clips will be optimized for social media and pre-event marketing efforts.
Professional Editing & Enhancements: All videos will include color correction, audio mastering, motion graphics, branding elements, and background music aligned with HRS’ tone.
Final Delivery: All videos will be delivered in a ready-to-use format by April 14, 2025, per HRS’ requirements.
Team & Equipment
Crew: A team of two professionals, including a director/interviewer, videographer, and audio technician.
Equipment: We will utilize 4K Panasonic cameras, professional LED lighting, cinema quality boom + lav microphones, and dual-slot recording for immediate backup. Data will be securely stored on-site and backed up both locally and to the cloud.
Availability & Logistics
Full Availability: We are fully available for filming on March 27-28, 2025, in Chicago, IL.
Pre-Event Coordination: We will conduct remote consultation meetings with HRS staff to finalize the content approach, logistics, and scheduling.
Day-of Support: We will work closely with on-site HRS representatives to ensure a smooth production process.
