Introduction

My name is Ben Mercedes II, and since 2014, I’ve specialized in capturing live events, conferences, and brand content. Our experience covering everything from 500-person weddings to 10,000-person events has made us highly adaptable and detail-oriented, ensuring seamless execution with no room for error.

For Heart Rhythm 2025, we’ll provide dynamic photography and video assets to enhance HRS’ marketing efforts during and after the event. We excel in fast-turnaround content for social media and promotional use, with a streamlined workflow for efficient delivery. We have the capability to provide headshots for keynote speakers and staff along with all attendees. We offer full video capabilities, including event livestreaming, recording and editing full-length discussions, and capturing fireside-style podcast chats between sessions, along with additional customized coverage as needed.

Approach

Scope of Work & Deliverables

  • Photography: Commitment to delivering the required 100+ photos per day, plus reception and gala photos. Typically we would shoot and deliver 400-800 images per day.

  • Videography: Capturing 50 b-roll clips per day (30 seconds each) and ensuring timely delivery.

  • Daily Content: Ability to provide daily video reels and select photos for same day social media posting.

  • Post-Event Delivery: Commitment to delivering edited photos and RAW video files within 7 days, with an option for edited video reels upon request. Sneak peak gallery delivered within 24 hours of the event. Fully gallery within 7 days.

Team & Equipment

  • 3 Photographer/Videographers.

  • We use Canon and Panasonic cameras, equipped with both on-camera and off-camera flash for optimal lighting. This includes multiple camera bodies, lenses and lighting equipment. Our dual-slot cameras record to two cards simultaneously, ensuring instant backups of all footage. Each day, a third copy is secured on an SSD. Upon returning to the studio, we further back up the content both locally and to the cloud, maintaining five or more copies for maximum data security and redundancy.

Availability & Logistics

  • We are fully available for all Heart Rhythm 2025 event dates and scheduled time slots.

    • We will hold remote consultation meetings prior to the event to align on expectations, timelines, logistics, and key deliverables.

    • During the event, we will touch base with HRS staff before and throughout each day to ensure seamless coordination and adaptability to any updates.

    • We have the capability to upload edited images throughout the day and at the end of each day to an online gallery for immediate access and marketing use.
